Job Summary:  Provides direct administrative and clerical support for the SMCAC Board of Directors, including but not limited to the organization of community events, end-of-year Key Performance Indicators (KPI) reports, monthly board meetings, scholarship program, staff meetings, and serves as the Volunteer Coordinator.

 

Also attends networking events, creates a monthly e-newsletter, runs social media platforms, performs website updates, writes a monthly spotlight feature, plus performs other duties as assigned. Is proficient to cover the gallery and perform related tasks.

 

Essential Functions:

 

  1. Provides administrative support to the Executive Director (ED) and Board of Directors.
  2. Answers phone and directs messages to appropriate recipient.
  3. Answers and screens email communications.
  4. Answers and screens messages received via social media channels.
  5. Prepares various reports, forms, correspondence, etc., as directed.
  6. Maintains and manages the SMCAC website.
  7. Utilizes technology effectively in performance of job duties including managing social media accounts (Facebook and Instagram), Squarespace (website), Constant Contact for e-newsletters, Snappa, Poster My Wall, etc.
  8. Plan, attend, and scout community events where the Arts Council should be represented. Coordinate volunteer support.
  9. Increases professional knowledge through attending workshops and conferences and participating in professional association activities.
  10. Write and produce press releases including monthly Spotlight on the Arts, newsletter content, promotional materials, blog posts, and general advertising.
  11. Assists as needed in Gallery for coverage of shifts.
  12. Plans and coordinates in-house exhibits and marketing in collaboration w/ Gallery Manager.
  13. Assists w/ coordinating and overseeing annual Art Walk Contest event.
  14. Assists w/ keeping gallery, office, and related areas/storage spaces clean and orderly.
  15. May fill in for Executive Director related tasks as needed when ED is unavailable due to time off/other ED obligations.
  16. Performs other duties as assigned.

 

 

Required Knowledge, Skills, and Abilities: 

 

  1. Ability to gain working knowledge of St. Mary’s County Arts Council’s policies and procedures.
  2. Ability to act as a representative of St. Mary’s County Arts Council to the public.
  3. Ability to gain knowledge of the staff, activities, and operations of assigned office.
  4. Ability to effectively communicate with staff, board, colleagues and constituents.
  5. Ability to prioritize and multitask.
  6. Ability to operate relevant computer systems, including hardware and software, and basic office machines.
  7. Basic math and English language skills.

 

 

Education and Experience:

 

  1. Associate degree preferred.
  2. Two or more years of related experience or equivalent technical training, education, and/or experience.
  3. Strong interpersonal skills with ability to interact appropriately with a diverse community population.

                                   

 

Physical and Environmental Conditions:

 

Work requires no unusual demand for physical effort. Must be able to perform basic functions for in-house and off-site Gallery related tasks such as (but not limited to): standing on low-height stools for hanging art, reaching overhead, and lifting of items up to 15 pounds.

 

Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices or meeting rooms, e.g., use of safe workplace practices with office equipment, and/or avoidance of trips and falls.

 

Community events involve the organization of materials, working in a variety of indoor and outdoor environments, transporting items to and from event sites via hand carrying and/or the use of a wagon, and other related requirements. Lifting requirement of up to 15 pounds.
